Volunteer Information

Pinelanders is a volunteer organization, and we accept player registrations on the condition that every family volunteers for at least one volunteer activity each season. In the Spring season 2007 we are significantly changing the way we manage our volunteer activities. Families will no longer be asked to sign up for a volunteer category, but will be advised of opportunities through e-mail, and can sign up for them through My Pinelanders. All activities are scheduled on a first-come-first-served basis.

We recognize that some members cannot volunteer at the fields, and we will endeavor to offer some activities that can be carried out from home, or during the week.

There are three types of activity: Standing activities, Scheduled activities, and Ad hoc Activities.

Standing Activities

These include any activities that require a volunteer to take on a role within the organization. They include:

Member of the Board of Directors or any committee. Active participation is required. Committee participation is not limited to Board members, and we encourage everyone to ask about opportunities. Roles such as Division Commissioner and Newsletter Editor are designated as committee positions.
Coach or assistant coach. "Extra assistants" (XAs) qualify provided they take an active role in the coaching of the team.
Team Parent. Each coach may designate up to two Team Parents per season. There is no requirement for a team to have a Team Parent; it's the coach's decision. This is the first time that the club has recognized this as an official volunteer position, because we have had no way to track it in the past.
Team Administrator. This is a new role, intended to support coaches who do not access their e-mail or team web pages frequently. This position is experimental, and we expect that only a few teams will use it.

Scheduled Activities

These are short-duration activities that are published on the Activity Schedule page, and require members to sign up. New activities will appear from time to time during the season, and will generally include:

Pre-season grounds preparation
Weekly grounds cleanup
Snack bar supervisor
Snack bar server
Assistance with mail-outs
Assistance at the registration desk
Distributing flyers to schools
Making phone calls

The following color codes are used to indicate the status of a scheduled activity.

Activity Status
	Nobody has yet volunteered for this task, or the task occurred in the past and was not filled.
	The activity was canceled - generally (but not always) because games were rained out.
	We have a volunteer, and the task is not yet complete. A completed task will stay yellow until the activity sponsor changes it.
	The task has been completed. Thank you!

Ad Hoc Activities

Ad hoc activities are any activities or contributions to club operation that a member makes without involving being a member of a committee or signing up for a scheduled activity. There is no fixed list, but examples might include editing the newsletter, distributing flyers to schools, and making phone calls. If you have an idea for an activity that would benefit the club, please contact Jem Treadwell or any Board member.

Member Status

Your volunteer status is visible on your My Pinelanders home page and on team rosters. The following color codes are used:

Member Volunteer Status
	Nobody in your family has a standing volunteer role, and you are not signed up for a scheduled activity. Please check for available opportunities, and sign up as soon as you can.
	You signed up for an activity that was canceled - generally (but not always) because games were rained out. Please sign up for another scheduled activity.
	You have signed up for a scheduled activity, but either it has not yet occurred or the activity's sponsor has not yet marked it as complete. It may take a few days for the sponsor to change the status, but if it is still yellow after three days please contact Jem Treadwell.
	A family member is a standing volunteer, or you have completed a scheduled activity. Thank you!
